Folders could be created for each student with an IEP where a copy of his/her current IEP and any relevant documents could be kept. A DocuShare bulletinboard could be started as a running commentary on that student's progress, problems, or the specifics about changes to his/her IEP. Access to this data can be completely controlled by the permissions structure that is built into DocuShare. This would eliminate the need to continuously re-distribute paper copies of a student's IEP as it is updated. All appropriate faculty and staff that need access to that information would have the updated information realtime through DocuShare over the Internet. Also, the documents can be password protected so that they can be viewed but not edited in order to prevent unauthorized editing of the documents.

One disadvantage of the DocuShare calendar feature is that it does not integrate with the calendar in Outlook. Because of that each calendar event on the DocuShare calendar has to be created individually. It would be useful, however, for posting events that relate to the whole PPS department, such as training sessions, special meetings, departmental deadlines, etc.; and it is the easiest way to post calendar events on the web, either publically or with controlled access.
